The problem
A team managing distressed REO assets for institutional investors, including Freddie Mac, Fannie Mae, and HUD, was working across multiple states on disconnected spreadsheets. Asset managers and field agents had no single source of truth. Matching a licensed agent across state lines took days of email. Time-sensitive, state-specific deadlines sat on fragile sheets.

What we built
REOFLO, an Airtable system with geocoded agent matching, a library of nearly 200 standardised task templates, and two live portals.

How it works
A property enters the pipeline. The system checks the agent's licence state by state, filters by distance, and ranks by quality score. The top local match is assigned. Stage tasks then run from pre-listing through offer, contract execution, closing, eviction or redemption, and property preservation. Due dates and warning alerts are built in, and state-specific compliance steps sit in the flow. Asset managers open a portfolio dashboard with status and coverage. Field agents open their assignments and a prioritised task queue, with email when work is waiting.

Assignments, compliance steps, and status live in one system. Two synchronised portals stay open for asset managers and field agents, with portfolio status and coverage updating as the work moves.
